Where they are and who sees them
Tasks is in the Inbox group of the side menu. On mobile it opens from Inbox, in the bottom bar, next to Interactions.
Tasks belong to the company, not to each person: everyone with access to Tasks sees the same ones. To see them, create them, edit them, change their status and attach files you need the Editor level or higher. Someone with the Viewer level does not see the section. The levels are explained in Collaborators.
Tasks is included in all plans.
Create a task
- Tap New task. There is no form first: ōrbita creates a blank task and opens its detail.
- Write the title. It is the only essential thing: without a title the task is not saved («Write a title to save it»).
- Fill in whatever you need. Each field saves on its own when you leave it.
You can also create one from the Calendar view of Tasks: tap an empty day and the task is born with that date.
What a task has:
| Field | What it is for |
|---|---|
| Title and Description | What has to be done and the context. |
| Status | Pending, In progress or Done. |
| Priority | High, Medium or Low. A new task starts with Medium priority. |
| Responsible | Who answers for the task. |
| Assigned to | Who does the work. |
| Due date and time | Optional. If you choose a day but no time, it is set to 10:00. |
| Files | References, briefings or material for whoever does it. |
| Comments | The team’s conversation about the task. |
| History | At the bottom of the detail, collapsible: the last change and, when opened, who created the task and what has changed since, with the before and the after. |
A new task starts as Pending, with you as both the responsible person and the assigned person.
Assign a task
Each task has two people, one in each field: Responsible and Assigned to. You can choose the company owner or any collaborator with the Editor level or higher; someone with the Viewer level does not appear in the list.
When you change Assigned to and choose another person, that person immediately gets an email and a mobile notification («You were assigned a task on ōrbita»), with a button that opens the task. No notice is sent if you assign it to yourself, or when you change the responsible person.
In the Delegate block, the Delegate task button does two things at once: it assigns the task to the person you choose and moves it to In progress. From there the owner can also invite someone by email, with the Editor level; inviting collaborators is part of the Star plan.
If a collaborator drops to the Viewer level, their open tasks pass to the company owner, who gets an email with the list.
Statuses, views and filters
There are three statuses: Pending, In progress and Done. You change them in two ways:
- In the detail, in the Status block, you can go from any status to any other.
- In the list, the circle to the left of each task marks it as Done. If you uncheck it, it goes back to Pending.
There are two views:
- List: groups tasks into Overdue, Today, Upcoming, No date and Completed. The Completed group starts collapsed; you open it by tapping its header.
- Calendar: by Month or by Week. Tasks with no date stay in a separate panel, «No date».
On both views you can filter by status and by priority, and search by text in the title and the description. There is no filter by person.
This calendar belongs to Tasks: tasks do not appear in the posts Calendar.
Files
In Files, tap Add files. You can select several at once.
- Up to 30 files per task.
- Images (jpg, png, webp, gif) up to 10 MB. iPhone HEIC photos are converted to JPEG.
- Videos (mp4, mov, webm) up to 100 MB.
- Documents (pdf, doc, docx, ppt, pptx). They are attached from the web version; in the iOS and Android apps the picker offers photos and videos.
Files are private: only people with access to the company’s tasks see them. Anyone with the Editor level or higher can add and delete them, not only whoever uploaded them.
Comments and mentions
In Comments the team talks about the task. Each new comment is notified by email and with a mobile notification:
- Without a mention, to all the people in the company who see tasks, except the one who writes it.
- With a mention, only to the people mentioned. Type @ and choose whom to notify.
You can edit and delete your own comments. An edited comment is marked «(edited)» and does not notify anyone again.
Due dates and reminders
The due date organizes your work inside ōrbita:
- In the List, a task whose day has passed moves up to the Overdue group, with the date in red. Today’s tasks appear in Today.
- In the Calendar, overdue tasks are marked in red and today’s in amber.
- A task counts as overdue from the day after its date, not by the time.
- A completed task never appears as overdue.
Important: ōrbita does not send reminders when a task’s date arrives. The email and mobile notices are the assignment ones and the comment ones.
The tasks ōrbita creates
Some tasks are not created by you: ōrbita suggests them from your communication strategy and from what it knows about the company. You recognize them by the ōrbita badge. Today they are these:
- «Add testimonials and a results figure», if the company has no social proof.
- «Create a simple website or landing page», if the company has no website.
- One task for each action outside social networks that the strategy marks as a task.
- «Initial website analysis», with the notes ōrbita takes when it reads the company’s website at sign-up.
How they behave:
- They are born assigned to the company owner. When the first strategy is finished, the owner receives a single notice with the tasks ōrbita has prepared.
- The first three resolve themselves: when the reason disappears (there is already social proof, there is already a website, the action is no longer in the strategy), the task is withdrawn.
- You can edit or delete them whenever you want. When you change their title, description or priority the task becomes yours: it loses the badge, stops updating on its own and that suggestion does not come back. If you delete it, it does not come back either.
- Changing the status, the person or the date does not make it yours. If you complete it, it stays completed.
Each month’s content proposals do not create tasks.
How your connected AI uses them
If you have connected your agent to ōrbita, it sees the same open tasks you do in each company, with their description, comments and files, and works with your same permissions. With the tasks permission it can:
- Create tasks for you or for someone on the team.
- Move a task to In progress when it starts working on it and mark it as done when it finishes, with a note of what it did. It cannot close a task that is still Pending: it has to start it first.
- Attach a file to a task from a public link.
It cannot delete tasks or reopen one that is already completed: that is done in ōrbita.
To leave work for your agent use Ask my agent (Ask my AI if your app has not updated yet), which opens from a post or from a day in the posts Calendar. You write what has to be done, for whom and, if you want, a due date. The request is one more task, with the For your agent tag (or For your AI).
Your agent picks up its requests when you ask it or with a scheduled task. If you give it an email inbox, ōrbita also notifies it there of what is assigned to it (Connect an agent). Everything it does is signed with its name and yours, for example «Ana’s Claude» (your own name in place of Ana), in the comments and in the history. How to ask it, with examples: Connect your agent.
Delete a task
In the detail, under Advanced, tap Delete task. ōrbita asks you to confirm it by typing the word «delete». Its comments, files and history are deleted too, and it cannot be undone.
- You can delete the tasks you created.
- Someone else’s tasks can only be deleted by someone with the Admin or Owner level and a level higher than that of whoever created it. The owner can delete them all.
- The ones ōrbita creates can be deleted by an Admin or the Owner.
