How to set up a company in ōrbita: sign-up and the getting-started guide

Setting up a company in ōrbita starts with giving it a name: it is created in a minute. After that, the getting-started guide, on the company's Home, takes you step by step: the website, a few questions about the business, the catalog, customer questions, the communication plan, key dates, the networks, the first month of content and the first scheduled post. You can do it yourself or with your agent (Claude or ChatGPT), and leave it and pick it up again whenever you want.

What onboarding is and how long it takes

Onboarding has two parts:

  • The sign-up. You enter the company name and it exists. It takes a minute.
  • The getting-started guide. A list of steps on the company’s Home, titled «Get [company name] going». It takes you from telling us about the business to scheduling your first post.

You do not have to do the guide in one go. Each step is saved when you finish it and the list waits for you where you left it, on the company’s Home. The part that takes the most time is the questions about the business: about 10 minutes if you answer them yourself.

With what you tell it, ōrbita writes the communication plan and the first month’s posts. The more specific you are, the more the result will look like your business.

What to have at hand before you start

  • The address of the business website, if it has one.
  • What it sells: main products or services and to whom.
  • What its ideal customer is like and what worries them.
  • Three or four questions customers really ask (opening hours, shipping, how to book).
  • The logins for the social networks you want to connect.

The sign-up, step by step

  1. Create your account at app.orbitasolutions.org with email and password, or with your Google account (and Apple, in the iOS app). If you use email, you will get a six-digit code to confirm it.

  2. Create the company. In All my companies, tap Create your first company. The «Create your company in a minute» screen asks for the Company name and, if we do not know it yet, what your name is. Tap Create company.

  3. Choose how to complete it. ōrbita asks «By hand or with your AI?»:

    • Connect my AI and let it guide me step by step. Claude or ChatGPT do it with you in a chat: they use what you tell them, your website or your documents and only ask you what is missing. It is explained in Set up your company with your AI.
    • I will fill it in myself. You follow the steps in ōrbita.

You can always change your mind: the guide has the link «Would you rather do it with your AI, step by step?».

If you are an agency or a freelancer, each client is a company inside your account and you switch from one to another with the company selector or from All my companies.

The guide steps

The guide marks the step that is next at each moment and crosses out the ones that are done. This is the order:

Step What you do
The website You type the website address and tap Save the website, or tap No website. If there is a website, ōrbita reads its public content to get to know the business, identifying itself as Orbita-Bot.
Tell us about the business A few questions about what you sell, to whom and how you want to sound. You answer in your own words.
Add a product to the catalog You add at least one product or service and remove what does not fit. If the website had products, you will see them already proposed. When you finish, tap Done.
What do customers ask? You add your customers’ most common questions. When you finish, tap Done.
Ask for the communication plan With the questions, the catalog and the customers’ questions, ōrbita can now write it. You ask for it from the guide and it takes about 2 minutes.
Review and confirm the communication plan You read it calmly, change what does not fit and confirm it. Confirming it is what unlocks the content.
Review the seasonal calendar With the plan, ōrbita proposes the key dates of the year. You go over them, add the ones that are missing and remove the ones that do not apply.
Connect the company’s social networks You connect at least two networks in Company settings > Connections. How to connect each one: Connect social networks and publish.
The first month of content You tap Ask us to write it. ōrbita writes the first month’s posts from the plan, the catalog, the seasonal calendar and what customers ask. It takes a couple of minutes and leaves them as drafts in the calendar, without publishing anything.
Open your calendar You open the Calendar and see the proposals.
Schedule your first post You pick a proposal, adjust it and leave it scheduled. To schedule you need at least one connected network.

The catalog and the customer questions come before the plan because the plan is written with them. The dates come after because the plan proposes them.

On the steps that can be left for later (the networks, the first month and the first post) you will see Skip this step. A skipped step stays crossed out in the guide and you can come back to it whenever you want from the menu.

When the first post is scheduled, the guide changes its title to «[company name] is up and running».

If you only want to schedule what you already have

The guide includes the link «I just want to schedule what I already have: skip to networks and calendar». It leaves the questions, the plan and the first month written by ōrbita for later, and takes you to connect the networks and schedule your own posts. The skipped steps stay in the guide in case you want the plan later.

It is also the path for a company on the Satellite plan, which does not include the strategy or the AI-written proposals.

What happens if data is missing

If what you have told it is not enough to write a useful plan, ōrbita does not make it up. The plan step says so and offers you two ways out:

  • Answer the questions again, to add what is missing.
  • I’d rather just connect the networks and post my own content, to go on without a plan.

If the writing fails because of a technical problem, the step lets you ask for it again. Your answers are still saved.

If you leave it half done

While the company is in its trial period and has no scheduled post yet, ōrbita reminds you by email of the step that is next: the day after your last progress, after three days and after a week. That is three notices at most and each step is reminded only once. If you create the account and do not get to create the company, you get a single notice the next day.

When the company is already up and running

Once the guide is complete, «Get more out of ōrbita» appears, with what you have not tried yet: inviting other people to the company, connecting your agent, creating a post of your own, tasks, the interactions inbox, metrics, reviews, Canva and the mobile app. It is not mandatory: they are suggestions and they get marked as you try them.

Adding more companies

Tap Add company in All my companies or in the COMPANY selector.

  • If it is your first company and your trial is still running, you go straight to «Create your company in a minute».
  • If the new company has no trial (it is not the first, or your trial period has already passed), ōrbita first asks you for its plan: «Choose the plan for the new company». You enter the name, activate the plan and, when you finish, its guide opens just as in a company on trial.

The plan of a new company is chosen in the web version. In the iOS and Android apps, when the new company has no trial, Add company shows the notice «Your subscription is managed from your account».

If you are an agency: onboarding on the first call

Many agencies set up the company and answer the questions during the first meeting with the client, with the client in front of them, or hand the brief to their agent so it fills in the company with it. By the time they hang up they have the plan and the first proposals to show. Afterwards they can invite the client as a collaborator with the access level they choose.

Price and trial period

Your account starts with a trial period with no card that counts from the day you create it and is only for your first company. If you let the period pass without creating it, it starts without a trial and you need a plan to use it; the following companies also start without a trial. What happens when it ends and how to choose each company’s plan is in End of the trial and company without a plan. Current conditions and prices are in pricing.

If something fails

  • «Give your company a name.» The name is required to create it.
  • «We could not create the company. Please try again.» It is the notice for any failure when creating it. If it repeats, write to us.
  • «The catalog is empty.» The catalog step needs at least one product or service before you tap Done.
  • «We couldn’t request the communication plan.» Try again in a few minutes.
